Gift cards, store credit and refunds that are not refunds

Money that lives inside a shop rather than on a card creates obligations the cart has to track carefully. Gift cards and store credit look simple and touch accounting, tax and fraud at once.

A gift card is a liability from the moment it is sold. It is not revenue until it is redeemed. Treat the sale as a normal order and two things go wrong at once. Income is overstated. What the business owes is understated. The correction lands at year end, and it is painful.

Partial redemption is where implementations break. A card covering part of a basket has to do three things. Leave a balance. Apply before or after tax, according to jurisdiction. Survive a partial refund of the order it paid for. Each is a separate rule. Defaults rarely match what the accountant expects.

Store credit issued instead of a refund has its own logic. It keeps the money in the business, and it needs a clear statement of what the customer agreed to. Credit forced on a buyer who asked for a refund is a dispute rather than a retention win.

Fraud attaches to both. Gift cards are liquid, which makes them a target. Stolen cards buy gift cards. Gift cards buy goods. Velocity limits help. So does a delay on high-value digital delivery, and a check against the ordering account. None of it blocks real buyers.

Expiry is a legal question with different answers in different places, and it is one to ask rather than assume.

What we set up: the liability account and how it reconciles, the redemption order against tax, the refund path when a card paid for part of an order, the fraud controls, and a monthly report of outstanding balance so the obligation stays visible.

I already have a website — so why build a store?
Because being online isn't the same as actually selling.
An eCommerce site helps customers buy — and helps your business grow. Cart, payments, logistics, funnel — everything works toward results.
Speed matters even here. A slow catalogue makes a buyer phone a competitor instead.

A shop for buyers who cannot pay with a card

Institutional buyers cannot pay with a card. The shop has to match how they are allowed to buy.

Support the quote before the order
A basket that converts to a formal quotation, with a reference number, validity date and the details a purchasing system needs. This document travels inside the buyer's organisation for days or weeks. Making it easy to produce is often the whole difference between a supplier being usable and not.
  • Quote generated from the basket
  • Reference and validity included
  • Format matched to buyer requirements
Accept purchase orders and terms
Ordering against a PO number, invoicing afterwards, and account-level credit terms agreed in advance. This requires customer accounts with roles, because the person choosing is rarely the person authorised to commit funds.
  • PO number captured at checkout
  • Invoice route separate from card payment
  • Credit terms attached to the account
Model the approval chain
A requester builds a basket, an approver releases it. Without this the requester either cannot order or orders outside the process, which purchasing eventually stops. Two roles and one notification cover most cases.
  • Requester and approver roles supported
  • Pending orders visible to both
  • Notification on approval or rejection
Publish the data purchasing needs
Catalogue numbers, pack sizes, specifications, lead times, hazard information and documentation. Institutional buyers match these against internal records and will not guess. Missing specifications cost the order to a competitor whose page had them. Documentation belongs on the product page, not behind a request form that adds two days to a decision already made.
  • Catalogue numbers exposed and searchable
  • Specifications and documents attached
  • Lead times stated per item

FAQ

What ecommerce challenges do Bethesda retailers face that custom development solves?

Bethesda retailers serve a uniquely affluent and sophisticated market — Bethesda Row premium retailers, Friendship Heights luxury shoppers, NIH and federal professional consumers, and one of the highest-income consumer audiences in the United States. Generic Shopify themes fail to address the premium expectations, sophisticated product presentation, and conversion architecture this market requires. Custom Bethesda ecommerce platforms handle premium product handling, sophisticated personalization, and the specific operational realities Bethesda merchants navigate including substantial federal employee customer base.

Which ecommerce platforms does Toimi recommend for Bethesda businesses?

Recommendation depends on scale and complexity. For larger Bethesda retailers with substantial catalogs and B2B/B2C operations, Magento Commerce or Shopify Plus with custom development. For mid-size businesses, Shopify with custom theme development and app integration. For specialized Bethesda businesses (biomedical product distribution, premium specialty retail, B2B distributors serving federal contracting), often custom platforms on Laravel or Node.js better serve unique requirements.

How long does ecommerce development take for Bethesda retailers?

Bethesda ecommerce timelines vary by scope: Shopify-based store with custom theme runs 8-14 weeks; mid-complexity custom platform 4-7 months; enterprise-scale platforms (substantial B2B/B2C operations, multi-warehouse coordination, federal contracting integration) 6-12 months. Premium retail implementation requires substantial visual sophistication adding to timelines. B2B operations serving federal contracting may require additional compliance accommodation extending timelines.

How does Toimi optimize Bethesda ecommerce for mobile conversion?

Bethesda mobile commerce serves sophisticated audiences — affluent downtown Bethesda, Westbard, Cabin John, and Friendship Heights consumers, federal contracting professionals, and NIH/Lockheed/Marriott corporate audiences with high iPhone share. We build mobile-first product pages, sub-2-second performance, optimized cart and checkout, Apple Pay integration as default, and personalization driven by buyer behavior. For Bethesda's exceptionally educated and demanding consumer base, mobile experience polish substantially affects conversion.

How does Toimi handle Bethesda B2B ecommerce for federal contracting context?

Bethesda B2B ecommerce serving federal contracting requires distinctive capabilities — government purchase card (GPC) acceptance, GSA Schedule integration where applicable, federal agency-specific pricing and contract terms, NET payment terms common in federal contracting, federal customer authentication, and integration with federal procurement systems where applicable. For Bethesda B2B distributors serving NIH-adjacent biomedical, federal agencies, and defense industry, federal contracting accommodation substantially affects platform effectiveness.

How does Toimi handle premium retail ecommerce for Bethesda audiences?

Premium retail ecommerce for Bethesda Row, Friendship Heights, and similar contexts requires sophisticated polish — premium product photography presentation, video content integration, personalization driven by behavior, premium customer service infrastructure, loyalty program integration, and the visual quality matching premium retail audiences expect. For Bethesda premium retail audiences with substantial luxury expectations, ecommerce experience polish substantially differentiates from generic ecommerce.

What payment processing does Toimi implement for Bethesda ecommerce?

Standard payment integration includes Stripe, Authorize.net, Braintree, and PayPal as defaults. For Bethesda B2B operations serving federal contracting, government purchase card (GPC) acceptance, ACH for federal customer payments, and NET payment terms with credit management. For premium retail operations, integration with luxury payment methods (American Express premium card recognition, premium customer benefits). PCI compliance is built in regardless of merchant size.

How does Toimi support Bethesda ecommerce after launch?

Ecommerce platforms require continuous evolution — new product launches, seasonal campaigns, optimization based on conversion data, payment method evolution, shipping logic adjustments, and integration updates. Toimi offers Bethesda clients ongoing development partnerships with monthly performance reviews, A/B testing programs, and quarterly strategic planning. For B2B operations serving federal contracting, enterprise-grade support tier accommodates operational criticality of ecommerce platforms.
