Getting the first product catalog into a new store from spreadsheets or an old system

Every new store needs data before it needs design. Before checkout works, before search returns a result, the catalog has to exist somewhere the platform can read it. Most projects start this from a spreadsheet. Sometimes it is an old platform export, or a supplier feed that nobody has cleaned in years. The way that first import is handled sets the pace for everything that follows.

A spreadsheet import sounds simple. Then the columns disagree with each other. One product has a color and a size. Another has only a size. A third calls the same attribute something else entirely. The person mapping columns to fields has to decide whether size means shoe size, clothing size, or a bottle volume. That decision has to hold across the whole file. Skipping this step trades a week of tedious mapping for months of quiet catalog errors.

Migrating from an old system carries a different risk. The export usually includes fields the old platform needed. It is missing fields the new one requires, such as a normalized attribute set or a proper category path. A flat export with a single category string has to be split, cleaned, and mapped onto a hierarchy that may not match the old one at all. Keeping old product identifiers matters here. Reviews, order history, and external links all point to them.

Images cause more delay than most people expect. A spreadsheet import that references image files by name only works if every file arrives with the sheet. Every name has to match exactly, including case and file extension. Broken or missing image links are easy to overlook in a large file. They surface only when someone browses the live category page and sees a gap where a product photo should be.

Duplicate entries are the quiet failure mode. Two rows for the same product, spelled slightly differently, will both import cleanly. So will the same SKU repeated because someone appended a size variant instead of nesting it. Both will look wrong once live. A deduplication pass before the import, matching on SKU and normalized product name, catches most of this. A manual spot check after import catches what the pass misses.

Pricing fields deserve their own review pass. A spreadsheet that mixes tax-inclusive and tax-exclusive prices will cause trouble. So will one that carries a currency symbol inside a number field. Either imports as text, not a price. That breaks every calculation downstream. The safest approach treats every price column as suspect until it has been checked against a small, known sample by hand.

Stock quantities need a cutoff moment, not a rolling one. Say the import file was pulled from the old system three days before launch. Orders kept arriving on the old store in the meantime. The numbers loaded into the new store are already wrong on day one. Agreeing on an exact freeze time for stock counts, and re-pulling as close to cutover as the process allows, keeps opening-day numbers honest.

None of this replaces a manual review of a sample set. Automated validation catches missing required fields and malformed prices. It misses more than it catches. A product lands in the wrong category. A description gets copied from the wrong item. A size chart attaches to the wrong product line. Reviewing perhaps fifty products across every category, picked at random, exposes the errors a script cannot see.
