Studios, agencies and production companies publish on a clock set by somebody else. A trailer drops on a date agreed months ago, a campaign goes live at midnight, a title stays unannounced until it is not. A site serving that work carries material whose early appearance is a contractual problem, not an inconvenience.



The first decision is where unreleased material lives. A press area behind a login, with accounts issued individually rather than one shared password circulated by email, is the minimum. Shared credentials cannot be revoked without locking out everyone, and they are forwarded the moment a deadline gets tight. Individual accounts with expiry dates cost nothing extra and make a leak traceable.



Scheduling deserves the same care. Content set to publish at a precise moment should not depend on somebody being awake, and it should not sit in a draft that a search engine has already found through a sitemap or a guessable address. Staged content needs to be genuinely unreachable until its date, which is a hosting and access question rather than a checkbox in an editor.



Assets are where the discipline usually slips. High-resolution stills and cuts get uploaded for convenience and stay reachable by direct link long after the page referencing them is taken down. Files served from a store that enforces the same permissions as the page, with links that expire, prevent the common accident where a URL outlives the embargo it belonged to.



Then the part that is easy to forget: what happens after release. Embargo rules, expiry dates and press accounts all need a state for the day the material becomes public, so that nobody has to remember to open access manually. Automating the transition is what keeps a site from being either too closed on launch day or too open the week before.

When four suppliers touch the same website

A production company's site is rarely built by one team and left alone. A design studio does the look, a developer builds it, a marketing agency adds landing pages, a freelancer fixes something urgent on a Friday. Each arrives with good intentions and no knowledge of what the previous one decided, and the site slowly becomes something nobody can explain.

Fourth is the handover note. Not a manual, one page: what runs where, which plugins matter and why, what was customised, what will break if it is removed. Written when the knowledge is fresh, it takes an hour. Reconstructed by the next supplier, it takes a week and produces guesses.



The last piece is the asset library. Logos, stills, cut-downs and fonts get re-uploaded by each supplier in whatever size they had, and the site ends up serving six versions of the same image.
