Forms that quietly become a database nobody meant to keep

An enquiry form on a health or research site collects more than a name. People explain their situation in a free-text box, and what lands in the inbox can include details the organisation never intended to hold. The form was built in an afternoon. The record of what it gathered lasts for years.



Three decisions keep that under control. What the form asks for, what it stores and for how long, and who can read it. A field that exists gets filled. Removing the open box, or labelling it clearly with what not to include, prevents more sensitive data from arriving than any retention policy can fix afterwards.



Storage deserves a deliberate answer rather than a default. Many plugins keep a copy of every submission in the site database, which means a website backup on a laptop now contains it too. Deciding whether submissions are stored at all, where they are forwarded, and when they are purged is a five-minute conversation that saves a difficult one later.



Access is the last piece. Shared logins, former staff who still have accounts and a plugin that emails submissions to a list nobody maintains are the usual findings. Named accounts, removal when someone leaves, and one owner for the mailbox. None of this is technically hard. It is simply never anyone's job until it becomes urgent.



Third-party tools deserve the same scrutiny. Analytics, chat widgets and marketing scripts see what the visitor types, including into the form. Knowing which scripts run on pages that collect enquiries, and removing the ones nobody can justify, is part of the same decision as choosing the fields. A tool that nobody remembers installing is still collecting.

Search inside the site is where document libraries fail

Once an organisation publishes more than a hundred items, navigation stops being the way people find things and search takes over. On most sites that search is whatever the platform shipped with, tuned by nobody, and it returns the wrong page often enough that visitors stop using it and email the office instead.



The first improvement is knowing what people actually type. Search logs show the real vocabulary: abbreviations, programme nicknames, misspellings, a document number instead of a title. Reading a month of them usually reveals that the terms visitors use are not the terms the content uses, which is a content problem rather than a search problem.



The second is what gets indexed. A library of attachments where only the page titles are searchable hides most of the material. Indexing the text inside documents, or at least publishing a real summary on each landing page, is what makes the library reachable at all.



Third is the shape of results. A list of titles with no dates, no type and no context forces the visitor to open five tabs. Showing the date, the kind of document and a line of context lets them choose without guessing. Filters by year, type and programme do more than any relevance tuning.



Fourth is the empty result. Most sites return a blank page and an apology. The queries that produce nothing are the most valuable feedback the site generates, because each one is somebody who expected something to exist. Logged and reviewed, they become the publishing backlog.



Finally, synonyms and redirects. When a programme is renamed, both names should find it. When a document number is typed, it should resolve. These are small rules, added over time from the logs, and they are the difference between a library that serves itself and one that keeps the office answering the same question.
