A two-page brandbook summary for the people who will never read the full one

A full brandbook runs to dozens of pages, and most people who touch the brand will never open it. Sales staff, office managers, new hires and the colleague who makes the event poster need something shorter. A two-page summary is the edition they actually use.

Writing it is harder than it looks. The summary is a selection. Every rule left out is a rule you decide to live without in everyday work. So start with the mistakes that happen most often, and write against those.

The first page covers what people see. The logo in its main version and its one-colour version. The clear space around it, drawn as a simple diagram. The core colours with their codes for screen and print. The two typefaces, with a note on which system font to use when the brand fonts are not installed. That last line prevents more bad documents than any other.

The second page covers how the brand sounds and where the files live. Three or four words that describe the tone of voice, each with a short example sentence. A few words to avoid. Then a link to the asset folder, the templates and the full brandbook, plus the name of the person to ask.

Leave out the brand story, the strategy and the reasoning behind each choice. They matter, but they belong in the full edition. The summary is a tool for doing work quickly, and every paragraph of background pushes the useful rules further down the page.

Show rather than tell wherever possible. One correct example next to one wrong example teaches faster than a paragraph of explanation. Use real materials from the company, such as a slide, an email header or a price list, because people recognise their own work.

Format matters too. Make the summary a single PDF that prints cleanly on two sheets, and also a page on the company intranet. Keep the file name plain. Pin it in the chat channels where people usually ask for logos, and add it to the welcome pack for new staff.

Update the summary every time the full brandbook changes. A summary that contradicts the main document is worse than none, because people trust the shorter one. Put a version date in the footer so that anyone holding a printout can check it.

Test the draft before release. Give it to someone outside the marketing team and ask them to make a simple flyer. Watch where they hesitate. Those are the gaps.

Decide who is allowed to change the summary. If every department adds its favourite rule, the two pages turn into five within a year, and the edition loses the one quality that made it useful. Route every proposed addition through the owner of the full brandbook. A new rule earns a place only by replacing a weaker one. That discipline keeps the summary short, and a short summary is the only kind people keep open on their desktop.
