Duplicates, and the rule that decides which record survives

Every CRM collects duplicates. A lead fills in a form twice, sales enters a contact that marketing already imported, or an integration creates a new company because the name was spelled differently.

Duplicates cause real damage. Two reps call the same person, reporting counts one customer twice and automations send the same email twice. Trust in the system drops quickly after that.

Prevention starts at entry. Check for likely matches before a record is created. Email address is the strongest signal for people. Domain and normalised name work for companies. Show the possible match and let the user decide.

Integrations need the same checks. Most duplicates arrive through imports and syncs, not manual entry. Each source should match against existing records before creating new ones.

When duplicates do exist, merging needs a rule that says which record survives and which field values win. The newest value is not always right, since a verified phone number from sales may be better than a newer one typed into a web form.

Keep the history of both records. Activities, notes and deals from the discarded record should move to the survivor. A merge that drops history destroys the context the CRM exists to hold.

Make merges reversible where possible, and log them. Automated merging will occasionally combine two different people with similar details. Somebody needs to be able to see what happened and undo it.

Run a regular duplicate report. Small numbers are normal, but a sudden rise usually points at a new form, import or integration that bypasses the checks. Catching it early is much cheaper than cleaning up a year later.

Ownership rules matter during a merge. If two duplicates belong to different reps, the merge decides who keeps the relationship. That is a business decision, not a technical one. Write the rule down, agree it with sales leadership, and apply it the same way every time.
