Who is allowed to do what, and why that decides the platform
Plenty of Drupal projects are chosen for one reason, and it is rarely the content. It is permissions. Deciding who may draft, correct, approve and publish is the hard part, and simpler platforms answer it with a single administrator switch.
Start by treating a role as a job rather than a person. Contributors draft. Editors correct. Approvers sign off. Administrators configure and nothing else. Once roles describe work instead of individuals, somebody leaving stops being a technical event.
Workflow states carry the rest of it. A piece of content is draft, in review, published or retired, and every transition between two of those is a permission of its own. The question worth settling first is which role may move something from review to published. That single answer resolves most arguments about ownership before they happen.
Field level control is where Drupal separates from the alternatives. A price, a legal disclaimer or a contact block can be locked to one role while the body text stays open to everyone. Without it, each restriction becomes a rule people are asked to remember. Under deadline, people remember nothing. So it has to be encoded.
Permission to view is a different question from permission to edit, and it gets conflated constantly. Internal handbooks, policy in draft, an announcement under embargo: all of them need to live on the site before anybody outside may read them. A preview link for one named reviewer is a feature to design, not a workaround to discover.
Large organisations need a second dimension on top of roles. Departments, faculties or regions each own a section, and an editor in one should not be able to publish into another. That is delegation by section, and it is far cheaper to set up at the start. Retrofitting it means reassigning every item that already exists.
Then the audit trail. Revisions with an author and a timestamp answer who changed the paragraph and when. Nobody cares about that until the week after something goes wrong, and then it is the only thing anybody cares about.
We write the matrix before configuring anything. Roles down one side, actions across the top, a named owner for every cell that says yes. It is a dull document. It also prevents the outcome we find most often on inherited sites, where one administrator account is shared by nine people because the alternative was never designed.
Last, test the matrix with accounts instead of reading it. Log in as each role. Try the thing that role is not supposed to be able to do. A permission model that has never been attacked by its own team is an assumption wearing the clothes of a decision.
