Typeface licensing, and the cost nobody budgets

A typeface is not bought once. It is licensed, in categories, and the categories match how it is used rather than how many people are working on it.

The common misunderstanding is that a desktop licence covers everything. It covers making artwork on a computer. Putting the same typeface on a website is a separate licence, usually priced by traffic. Embedding it in an application is another. Using it in a broadcast or in a product interface may be another again.

Traffic-based pricing is where budgets break. A site that grows crosses a tier and the annual figure changes, and nobody was watching. It is worth knowing which tier you are in and what the next one costs before the campaign that doubles your audience.

Documents carry an embedded copy of the typeface, which is why a design handed over as a file can transfer a font to somebody with no right to it. Most licences allow embedding in a fixed document for reading. Fewer allow it in an editable one.

Then the question of who holds the licence. A typeface bought by an agency for a client project belongs to the agency unless the paperwork says otherwise. When the relationship ends, the client can be left with brand guidelines they cannot legally follow.

Free is a real option and it needs reading rather than assuming. Open licences are genuinely permissive and usually require that the font is not sold on its own. Free for personal use is a different thing entirely, and it appears on the same download pages.

Substitution has a design cost that people discover late. A fallback with different proportions changes line lengths and breaks layouts that were set tightly, so it is worth choosing the fallback deliberately and testing with it.

Variable fonts have changed the arithmetic in a useful direction. One file covering a range of weights is often cheaper to license and lighter to load than five separate ones.

We record the licence with the brand assets: what was bought, for what use, by whom, and when it renews. That record is what makes the typeface usable by the next person without a legal conversation.
