Error messages and undo in a tool people use all day

People who use an internal tool for hours make mistakes every day. They click the wrong row, send a form too early, delete something they meant to archive. How the tool responds decides whether the mistake costs a second or an afternoon.

Most error messages are written by developers, for developers. A code, a technical phrase, a suggestion to contact the administrator. The person reading it needs three things instead: what happened, whether anything was lost, and what to do next. Few messages answer all three.

The message should appear where the problem is. A red banner at the top of a long form forces people to hunt for the faulty field. Marking the field itself, with a short explanation beside it, points straight at the fix.

Tone matters less than precision. Friendly apologies do not help if the message is vague. A plain sentence that names the field and the rule, such as a date that must fall after the start date, is enough.

Prevention beats explanation. Disabling impossible choices, offering valid formats, and checking values as people type stop many errors before they reach the server. Each prevented error is one less message to write.

Undo changes behaviour. When people know an action can be reversed, they work faster and with less anxiety. A short notice after an action, with an option to reverse it, is often better than a confirmation dialog before it. Dialogs that ask whether you are sure get clicked through without reading.

Some actions cannot be undone. Sending a message to a customer, submitting a payment, publishing a document. These deserve real confirmation, stating exactly what will happen and to whom, with the dangerous button clearly different from the safe one.

Soft deletion supports undo behind the scenes. Records marked as removed rather than erased can be restored for a period, by the user or by support. That period, and who can restore, should be decided with the business owners and written down.

Errors that are not the fault of the user need honesty. When the server fails or a connection drops, the tool should say so, keep what the person typed, and offer to try again.

Count them. Collecting error events shows where the design itself causes trouble. A message that appears hundreds of times a week usually points at a confusing screen rather than careless users.
