Booking rules that the calendar has to enforce

A booking system looks like a calendar with a button. The real product is the set of rules behind it, and most of them live in the heads of the people who run the service.

Start by writing those rules down. How far ahead can someone book? How late can they cancel without a fee? How much time does staff need between two appointments? Which services need a particular room, device or qualified person? Each answer becomes a constraint the software has to apply every time.

Buffers are the rule most often forgotten. A thirty minute session may need ten minutes of preparation and ten of cleanup. If the calendar shows back-to-back slots, the schedule will run late by midday.

Resources complicate availability. A slot is free only when the person, the room and any equipment are free together. Showing availability for the person alone produces bookings that cannot happen.

Time zones cause quiet errors in online services. A video consultation booked from another region must show the time in the time zone of the customer, send reminders in that zone, and store one unambiguous time in the database.

Cancellation and no-show rules need to be visible before payment. When a fee appears only in the confirmation email, customers dispute it and the payment provider usually sides with them.

Staff need overrides. Somebody will always need to squeeze in an urgent case or block a morning for training. Build that into the admin view with a record of who changed what, instead of letting staff edit bookings directly in the database.

Test the rules with the busiest real week of last year. Load the bookings from that week into a copy of the system and look for conflicts. It is the fastest way to find the rule nobody mentioned.
