Warehouse stock
management system

Toimi has developed a stock management system with inventory accounting and sales statistics for a large tailoring group. Over the course of the project, we have taken into account all the issues that can arise in a warehouse when handling goods. Continue reading to learn more about the system

What we have done

We reviewed the operational structure of the warehouse, developed a catalogue and user accounts for vendors and customers, and implemented a warehouse management module.

Overarching objective

Our primary goal was to develop a warehouse management system (WMS)

Reviewing the structure and creating a prototype

Before we began, we analysed the company’s business processes and domain. This allowed us to work through user scenarios in great detail and design the overall structure.

We then developed prototypes with a visual representation of the system and its functionality, allowing the client to quickly make the necessary adjustments to the project logic.

Product catalogue

We have significantly expanded the catalogue’s capabilities by adding categories and implementing smart product recommendations by vehicle make. With only a few clicks, the user can find the right product and choose the colour, price and quantity.

Personal account capabilities

The personal account has two roles – Manager and Warehouse Employee – and allows you to manage orders and customers, as well as view various kinds of analytics.

Warehouse employee

The employee can accept goods, scan the barcode on the product label, and change the processing status.

Manager

The manager can create, approve, cancel and edit orders.

Convenient return procedure

The return process has been optimised. We have developed a user-friendly return form (available to both vendor and buyer), added search by application fields, and automated the generation of return documents for printing.

BUYER WAREHOUSE

Statistics and reports

We have eliminated the need to maintain supporting documentation to monitor employees – now, all you need to do is open the manager statistics. It can also be used to analyse the demand and see what remains in stock.

Documents and automation

The manager’s files are stored in the personal account. This saves them from the hassle of creating a separate folder for each customer on their PC, as all files are now kept in the system. If needed, the documents can be uploaded and downloaded.

Scanner

The “Scanner” section is divided into three tabs:

Change order status

The status can be changed after scanning the product’s barcode; the lines will then auto-fill with the required data.

Show available goods

After scanning the item code, the system displays a list of similar products in stock.

Merge orders

To merge orders, employees can simply scan the barcodes of the orders they want to combine.

Bulk price change

The employee can select catalogue, category, wholesale or retail price and set a new value

Appointment form for the installation of seat covers

Using the logbook and installation calendar, the manager can check the dates of current orders, payment statuses, and available time for installation.

Smart warehouse management

The system automatically optimises the warehouse employee’s daily route, maximising its convenience and efficiency.

Tracking of disposable goods

The inventory log allows the manager to keep track of who performed the operations, when and where.
